A connected Gmail (including Google Workspace) or Outlook (Outlook.com, Hotmail, Microsoft 365) mailbox does two things: replies sent from the Inbox go out from your own mailbox, and your contacts' replies land in PingsYou on their own.

How to connect

  1. Go to Settings → Gmail / Outlook mailbox (or the Replies inbox step of the setup wizard).
  2. Click Connect Gmail or Connect Outlook.
  3. Sign in with Google or Microsoft and allow reading and sending email. PingsYou never sees your password.
  4. You come back to PingsYou with the status connected. From now on we fetch new replies every minute.

What you get

  • You reply from your own address. A reply from the Inbox lands in your "Sent" folder and the whole conversation stays in one thread. Above the reply box you see From: your address · via Gmail.
  • Replies land in the Inbox on their own. When a contact replies to your email or writes straight to your address, we bring it into PingsYou. AI sorts it like any other reply.
  • Optional: the Send campaign replies to… switch makes customers reply to campaigns at your address. You see the reply in your mailbox and in the Inbox.

Privacy

  • We only read replies from your contacts or replies to emails sent from PingsYou. Never any other email.
  • For a new message we first look only at the sender and the thread. We fetch the content only after a match.
  • We do not fetch old email - only what arrives after you connect.
  • Access is encrypted. Disconnect removes it right away.
I see "An administrator needs to add the Google/Microsoft keys".

Your PingsYou installation does not have Google or Microsoft app keys yet. Until then you can try it on a test mailbox.

Status "reconnect".

Access expired or was revoked (e.g. a password change). Click Disconnect and connect the mailbox again.
